Fathom is a meeting-intelligence platform designed to remove manual note-taking from recurring business calls. It records supported meetings, generates searchable transcripts and summaries, identifies action items, creates clips and playlists, and sends conversation context to other work systems.
At the individual level, Fathom behaves like an automatic meeting memory. Premium expands summary depth and AI actions. At the team level, the product becomes more like a conversation-intelligence layer: managers can search shared calls, monitor deals, score coaching behaviors, control visibility and sync structured information into CRM fields.
Who should use Fathom?
Fathom is particularly well suited to sales, customer success, consulting, recruiting, account management and other roles where important information is created in video meetings. It lets participants stay focused on the conversation while the system captures the record and creates the first draft of follow-up work.
It is also useful for managers who need to learn from many calls without attending all of them. Shared meeting libraries, playlists, keyword alerts, account-wide Ask Fathom, Deal View and coaching metrics can turn a large call archive into a searchable operational dataset.
Fathom is less suitable for teams whose primary source material is uploaded recordings rather than live meetings. Current Help Center documentation says arbitrary external recordings cannot be uploaded for analysis. It is also a weaker fit for organizations that need silent recording: Fathom is intentionally designed so participants receive a recording or consent signal.

Fathom's core workflow begins with capture. It supports standard Zoom, Google Meet and Microsoft Teams meetings on Mac and Windows. The traditional experience uses a visible Fathom notetaker, while Fathom 3.0 is introducing bot-free recording for supported environments.
The newer experience is still platform-dependent. Current documentation says bot-free Zoom video capture is available on Mac, Google Meet bot-free video capture is coming, and Teams improvements are rolling out. Windows remains supported for Fathom generally, but the newest bot-free experience has been arriving on Mac first.
Fathom currently supports transcripts in 38 languages. Accuracy still depends on audio quality, accents, overlapping speech and domain terminology. G2 reviewers frequently praise transcription and summary quality but also report occasional inaccuracies, so critical names, numbers and commitments should be checked against the recording.
Free plan summaries
Free is more capable than many meeting-assistant free tiers. It includes unlimited recordings, unlimited storage and unlimited transcription. Fathom also generates meeting summaries, with advanced summary templates available for the first five calls each month before Free users fall back to the general/enhanced template.
This structure makes Free useful long term rather than merely as a trial. A consultant or founder who wants a searchable transcript and general summary for every call may never need to upgrade. Premium becomes more compelling when the user wants unlimited advanced summaries, AI-generated action items, AI follow-up emails, custom summaries and broader Ask Fathom access.
Ask Fathom
Ask Fathom is a conversational layer over meeting data. Users can ask questions about one call, a folder or broader meeting history depending on the plan. This is useful when the meeting archive becomes too large to navigate manually.
As of September 1, 2026, account-wide Ask Fathom has plan-specific history limits. Free can search the last two weeks of calls. Premium can search the individual's full meeting history. Team users have unlimited access across their own calls but team-wide searches are limited to the last two weeks. Business provides unlimited access across the user's own and team calls.
That distinction matters because Ask Fathom becomes more valuable as meeting history accumulates. A sales manager asking about objection patterns across a quarter needs broader account-wide history than an individual asking about one recent call.
Action items and follow-up emails
Paid individual and team plans can generate action items and follow-up emails automatically. This reduces the mechanical work after a meeting: users can review tasks, confirm owners and send a draft recap without rewriting the conversation from memory.
AI-generated action items still need review. G2 feedback and Fathom's own product design imply that the system is an assistant, not the contractual record of what participants committed to do. Teams should verify deadlines, owners and high-stakes commitments before syncing them downstream.
Clips and playlists
Fathom lets users create clips and playlists from meeting highlights. This is valuable for product research, customer feedback, sales coaching and stakeholder communication because a team can share the exact moment from the conversation rather than paraphrasing it.
Team plans expand this into shared call libraries. Managers can organize examples, build coaching playlists and let colleagues access context without attending every meeting.
CRM sync
Fathom documents native CRM workflows with HubSpot and Salesforce, and its settings documentation also references Close for individual sync. Meeting summaries, action items and recording links can be associated with the matching contacts, companies, accounts or opportunities.
Business adds structured CRM field sync. This is more powerful than simply attaching a note because Fathom can map meeting insights into specific CRM properties. Deal View then summarizes information across conversations so revenue teams can inspect risk, momentum and next steps.
CRM automation raises the cost of errors. Teams should validate field mappings and create rules for which AI-generated values can update the system of record automatically.
Deal View and coaching
Business includes deal-oriented conversation intelligence. Deal View aggregates customer conversations around an account or opportunity and surfaces insights. Coaching metrics and AI scorecards let managers evaluate behaviors across calls without listening to every recording from beginning to end.
These features make Business more comparable with revenue-intelligence products than with a simple transcription service. The tradeoff is that the value depends on disciplined CRM usage and a sufficient volume of customer conversations.
ChatGPT and Claude integrations
Fathom now offers ChatGPT and Claude integrations through MCP on every plan. Authorized users can query meeting summaries, transcripts and action items from those AI assistants and use the meeting context to draft briefs, follow-ups, account plans or other work.
This is strategically useful because Fathom does not need to become the place where every downstream deliverable is written. It can serve as the meeting knowledge layer while ChatGPT or Claude becomes the working interface.
Public API and automation
Fathom's workflow-automation documentation says the JSON-based public API is available on all plans and supports webhooks for events such as new summaries or action items. Zapier and Make can route meeting data into additional systems automatically.
Recent release notes also added recording downloads through the API and a shared-with field for meeting visibility. These changes make Fathom more useful for teams building custom meeting-data pipelines rather than relying only on built-in integrations.
Bot-free capture and Fathom 3.0
Fathom 3.0 is the largest recent product shift. It adds a redesigned desktop experience, bot-free capture options, live summaries in supported setups and more granular controls over capture modes.
Bot-free does not mean invisible recording. Fathom explicitly says there is no way to silently record; the new experience uses chat notices or in-app consent mechanisms so participants are informed. This is an important design choice for legal and trust reasons.
Devices and meeting-source limitations
Fathom currently supports meeting capture on Mac and Windows. It does not yet support Chromebooks, Linux, tablets or normal mobile-device capture. An iOS app for in-person meetings was still described as coming soon in late August 2026.
Fathom also does not currently accept arbitrary uploaded external recordings for analysis. Teams that regularly receive MP3, MP4 or podcast files may need a tool such as Fireflies, Otter or Descript instead.

The two-user minimum means Team starts at $38 per month on monthly billing or $30 per month annual-equivalent. Business starts at $68 monthly or $50 annual-equivalent. Enterprise is custom.
Fathom also gives new individual users a 30-day Premium preview. The pricing page advertises a 90-day guarantee, but detailed public eligibility and refund conditions were not located in the Help Center documentation reviewed for this article.
Security, privacy and consent
Fathom states that it is SOC 2 Type II audited and compliant with HIPAA and GDPR requirements. Team and Enterprise controls include centralized governance, SSO on eligible tiers, custom retention and sharing policies, SCIM on Enterprise and the ability to restrict anonymous recording access.
Fathom also states that it may use de-identified customer data to improve proprietary AI models and lets customers opt out. Enterprise buyers should review the current Trust Center and contractual terms for their specific data-handling requirements.
Consent is built into the recording experience. Traditional bot capture visibly joins the meeting, while bot-free capture uses recording notices or consent prompts. Organizations still remain responsible for configuring workflows that comply with applicable recording laws and internal policy.

How Fathom fits into a sales or customer-success workflow
The largest operational gain appears when meeting output is connected to the next system rather than left inside a call archive. A customer-success manager can finish a QBR, let Fathom summarize the discussion, review action items, sync the account context to CRM and push tasks into Asana. A salesperson can use the same meeting record to update deal fields, create follow-up and later query the call with Ask Fathom.
That workflow reduces several kinds of administrative duplication at once. The same conversation no longer has to be manually rewritten as personal notes, a CRM update, a Slack recap and a follow-up email. The risk is that an incorrect AI interpretation can propagate into several systems. Teams should decide which outputs require approval before synchronization.

Team administrators can control auto-capture behavior and default visibility separately for external, internal and unscheduled meetings. Fathom also supports private calls, team visibility, multi-team visibility and organization-wide visibility, depending on configuration. Enterprise adds controls such as restricting anonymous recording access and custom retention.
These settings matter because the meeting archive can contain sensitive customer, HR, legal or strategy conversations. A strong rollout should define which meetings are automatically captured, which are shared by default, who can download recordings and how long different categories of meeting should be retained.

Fathom is one of the easiest AI meeting assistants to recommend for evaluation because the Free plan removes most purchase risk and the customer review base is unusually strong. Individuals can get meaningful value without paying, while Premium and team tiers add features that directly reduce post-meeting administrative work.
The product is not universal. Uploaded recordings, mobile capture and fully mature bot-free support remain weaker areas. For supported live meetings, however, Fathom combines capture, meeting memory and workflow automation unusually well.
