Current Microsoft sources verify web and work-grounded chat, Microsoft 365 app integration, voice, vision, agents, Work IQ, Researcher, Analyst, Facilitator and model choice.

Usability and implementation4.8

Copilot is embedded in familiar Microsoft surfaces and the new Copilot app adapts to personal versus work accounts, though capabilities differ materially by license and account type.

Pricing and value transparency4.1

Free access and personal Microsoft 365 prices are public, and business Copilot pricing is published, but the product family spans personal subscriptions, business add-ons and bundles rather than one simple price.

Integrations, security and trust5.0

Microsoft documents enterprise data protection, tenant isolation, Microsoft 365 permissions, encryption, GDPR/EU commitments and no foundation-model training on organizational prompts, responses or Graph data.

Scored by Aditya Verma

Microsoft Copilot is Microsoft's general-purpose AI assistant for personal productivity and organizational work. The product now spans free consumer chat, Microsoft 365 Personal and Family subscriptions, higher-end Premium and Pro consumer tiers, and work-focused Microsoft Copilot licensing that grounds answers in organizational data and embeds AI directly inside Word, Excel, PowerPoint, Outlook and Teams.

That breadth is Copilot's biggest advantage and its biggest source of confusion. A free Copilot user gets a capable web-grounded assistant with voice, image creation and general chat. A Microsoft 365 Personal subscriber gets higher AI usage plus Copilot inside productivity apps. A licensed business user gets Work IQ, organizational grounding, reasoning tools, agents and enterprise data protection. These experiences share a name but are not interchangeable.

Quick verdict

Microsoft Copilot is one of the strongest AI assistants for people and organizations already centered on Microsoft 365. Its real differentiator is not generic chat—it is the ability to work inside Word, Excel, PowerPoint, Outlook and Teams while respecting Microsoft 365 permissions and grounding work in authorized organizational context. Consumer pricing is competitive because Copilot is bundled with Microsoft 365 apps and storage, while business pricing becomes compelling when the company already owns a qualifying Microsoft 365 environment. The main drawback is packaging complexity: free, Personal, Family, Premium, Pro and work licenses all provide different AI limits and entitlements.

Key takeaways

  • Free Microsoft Copilot remains available for general AI chat, web grounding, image creation and voice
  • Microsoft 365 Personal costs ₹689/month or ₹6,899/year in India and includes Copilot in Word, Excel, PowerPoint and Outlook
  • Microsoft 365 Family costs ₹819/month or ₹8,199/year, with Copilot AI benefits primarily for the subscription owner
  • Microsoft 365 Premium costs ₹19,999/year and adds extensive Copilot usage plus agentic research and analytics
  • Microsoft 365 Pro costs ₹9,999/month in India and provides the highest consumer-tier Copilot usage under the current listing
  • Microsoft 365 Copilot Business is currently $18/user/month billed annually as a first-year US promotion from a $21 list price, or $25.20 monthly
  • Work Copilot adds Work IQ, Researcher, Analyst, Facilitator, model choice and organizational grounding
  • Microsoft states that organizational prompts, responses and Microsoft Graph data are not used to train foundation models
  • Copilot Vision can analyze a shared desktop screen or mobile camera during voice sessions but does not directly manipulate the screen

What is Microsoft Copilot?

Microsoft Copilot is an AI assistant available across web, Windows, macOS, iOS, Android and Microsoft 365 applications. It can answer questions, search the web, draft and rewrite text, summarize files, create images, conduct research, reason over data and interact through voice. On supported work accounts, Copilot can also use authorized organizational data such as documents, emails, chats, meetings and business information exposed through Microsoft 365 and approved connectors.

Microsoft renamed the Microsoft 365 Copilot app to Microsoft Copilot in 2026, while some licenses and documentation still retain Microsoft 365 Copilot terminology. That naming transition explains why buyers may see both names referring to related work experiences.

Who is Microsoft Copilot best for?

Who should use this

  • Microsoft Copilot is best for individuals and organizations already using Microsoft 365. It is particularly valuable for knowledge workers who spend their day in Word, Excel, PowerPoint, Outlook and Teams and want AI to use existing files, meetings, emails and organizational context without copying everything into a separate chatbot.

Who should avoid this

  • Microsoft Copilot is less compelling for users who rarely use Microsoft 365 or who want one simple globally consistent AI subscription. Buyers should also avoid assuming the free consumer experience is equivalent to licensed work Copilot because organizational grounding, Work IQ, agents and compliance protections depend on account type and license.

Microsoft Copilot features reviewed

Copilot Chat

Copilot Chat is the conversational layer for asking questions, drafting content, summarizing information and researching topics. Free personal users can use web-grounded AI, while work accounts can reference files and, with the appropriate license, use organizational context.

The value of Copilot Chat increases sharply when the assistant can work with information the user already has permission to access. Instead of uploading a sales deck, quarterly report and meeting transcript manually, a licensed employee can ask questions against the Microsoft 365 environment that already contains those assets.

Microsoft 365 app integration

Eligible consumer and work plans bring Copilot directly into Word, Excel, PowerPoint and Outlook. Business licensing also covers Teams. Copilot can help draft documents, analyze spreadsheet data, generate presentations, summarize email threads and assist with meeting or chat workflows.

This embedded workflow is Copilot's strongest structural advantage over stand-alone assistants. The user can move from question to output without repeatedly switching applications or copying content across systems.

Work IQ

Work IQ is Microsoft's context layer for business Copilot. It combines Microsoft 365 content and metadata, line-of-business information from connectors, semantic indexing and work-pattern context. The goal is to make Copilot's answers more relevant to the employee's actual projects, relationships and workflows.

Work IQ is only valuable when the underlying information environment is well governed. Outdated SharePoint sites, poor permissions or duplicated files can reduce the quality of grounded answers. Organizations should treat information architecture as part of Copilot implementation.

Researcher

Researcher is a pre-built agent for complex research questions. It can combine internal work context with external information and produce source-backed analysis. It is designed for tasks that require deeper investigation than a quick chat answer.

Analyst

Analyst focuses on reasoning over data. It can help business users examine datasets, identify patterns and work through analytical questions without requiring every user to write formulas or code manually. The accuracy of the result still depends on the quality and interpretation of the source data.

Facilitator

Facilitator is designed around collaborative and meeting workflows. It can help organize discussion, capture relevant information and support follow-up. The feature is most useful in organizations where Teams already acts as a central collaboration layer.

Copilot Cowork

Microsoft's current business pricing comparison now lists Copilot Cowork as a metered capability on Microsoft 365 Copilot business plans. Cowork extends Copilot toward longer-running work rather than only conversational turns. Because usage is metered, teams should separate ordinary seat cost from any additional Cowork consumption in their deployment budget.

Model choice

Microsoft 365 Copilot Business includes LLM model choice. That gives organizations more flexibility in selecting the reasoning model for a task instead of relying on one fixed model across every workflow. Model availability can change as Microsoft updates the service.

Copilot Voice

Copilot Voice supports natural spoken conversations. Microsoft says consumer Copilot Voice itself is not generally capped as a simple message quota, although capacity and session-length limits can still apply and Microsoft 365 subscribers receive priority when capacity is constrained. Work users can also use voice from the Copilot app across desktop, web and mobile.

Voice is useful for brainstorming, preparing for meetings, dictating ideas and working hands-free, but generated or transcribed content should still be reviewed for errors.

Copilot Vision

Copilot Vision lets users share a desktop screen or mobile camera and ask questions about what Copilot sees. In the current work experience, Vision operates during a voice conversation and can combine visual context with Microsoft 365 work data.

Vision does not directly click, type or manipulate the screen. Each work Vision conversation is session-bound, and Microsoft says it does not reuse visual context from prior sessions. This makes Vision more of an intelligent guide than a remote-control automation tool.

Image creation

Consumer Copilot supports AI image creation. Microsoft 365 Personal and Family provide higher usage than the free experience, while Premium and Pro increase usage further. Image limits and available models can vary as Microsoft adjusts service capacity.

Agents and Copilot Studio

Organizations can use Microsoft's pre-built agents and create additional agents through Copilot Studio. Agent use can extend Copilot into specific business processes, external systems and repeatable workflows. Some Copilot Studio scenarios require separate metered capacity or Azure-related billing, so they should not be assumed to be included without limit in the Copilot seat price.

5.0/5

This is a research-based SearchSagar editorial score rather than a hands-on benchmark. Copilot scores especially well for Microsoft 365 integration, enterprise data controls and breadth of work features. Pricing transparency is lower because consumer subscriptions, business add-ons, bundles, promotions and metered agent features create a complicated buying path.

Pros

  • Deep integration with Word, Excel, PowerPoint, Outlook and Teams
  • Work IQ can ground business answers in authorized organizational context
  • Researcher, Analyst and Facilitator extend Copilot beyond simple chat
  • Voice and Vision support multimodal workflows
  • Consumer Microsoft 365 plans bundle AI with productivity apps and storage
  • Microsoft states organizational prompts, responses and Graph data are not used to train foundation models

Cons

  • Packaging is complicated across free, consumer, business and enterprise offers
  • The strongest organizational grounding requires the correct Microsoft 365 and Copilot licensing
  • Some agent and Cowork scenarios can introduce metered usage beyond the base seat
  • Vision can guide but cannot directly manipulate the user's screen
  • Generative answers still require fact-checking and human judgment
  • Feature availability can differ by account type, geography and rollout

What does G2 show for Microsoft Copilot?

G2's Microsoft seller profile currently lists more than 400 reviews associated with Microsoft Copilot, but the retrieved seller result does not expose a clean product-specific star rating that can be safely separated from broader Microsoft seller data. SearchSagar therefore does not assign a G2 star score to Copilot in this review.

That is preferable to importing an unrelated Microsoft seller average or confusing Copilot with similarly named products. Buyers should use current product-specific review pages directly when comparing customer sentiment.

Enterprise data protection

Microsoft states that organizational Copilot prompts, responses and Microsoft Graph data are not used to train foundation models. Work Copilot follows existing Microsoft 365 permissions, sensitivity labels and tenant boundaries. Microsoft acts as a data processor under applicable organizational product terms and data-protection agreements.

This does not remove the need for governance. If employees have access to information they should not have, Copilot can surface that same authorized information more efficiently. Permissions cleanup, sensitivity labels and data lifecycle controls remain central to a responsible rollout.

Cancellation and refunds

Subscriptions purchased directly from Microsoft can generally be managed through the Microsoft account Services & subscriptions page. If no refund is issued, access normally continues through the paid term. Purchases through Apple, Google Play or third-party retailers must be managed through those providers.

Microsoft's current refund policy says directly purchased subscriptions may qualify for refunds depending on timing, product and country. In many cases there is a 30-day initial-purchase or first-recurring-billing window, while Microsoft 365 Premium and Pro have additional region-specific prorated rules, including a 14-day initial-purchase window in many countries. Eligibility is determined during cancellation.

Testing methodology

SearchSagar has not claimed hands-on testing for Microsoft Copilot. This review is based on current Microsoft consumer and business pricing, Copilot Voice and Vision support, enterprise data-protection documentation, refund policy and the SearchSagar research record for the product.

Microsoft Copilot alternatives to consider

Relevant approved SearchSagar alternatives include ChatGPT, Claude and Gemini. ChatGPT is attractive for broad general-purpose work, coding, deep research and cross-platform connectors. Claude is strong for writing, coding, long-context work and team knowledge. Gemini is the most natural alternative for organizations centered on Google Workspace rather than Microsoft 365.

Final verdict: is Microsoft Copilot worth it?

Microsoft Copilot is most valuable when Microsoft 365 is already where work happens. In that environment, the assistant can help with documents, spreadsheets, presentations, email, meetings and organizational search without requiring employees to rebuild context manually in another AI product.

For consumers, Microsoft 365 Personal can be strong value because the subscription combines Office apps, 1 TB storage and higher Copilot usage. For businesses, the decision is less about whether Copilot can answer questions and more about whether Work IQ, organizational grounding and embedded app workflows save enough employee time to justify another per-user license. Companies should test Copilot against real Microsoft 365 workflows before rolling it out broadly.

Expert tip

Evaluate Microsoft Copilot with tasks that use real Microsoft 365 context: summarize a meeting and its related email thread, analyze an Excel file, draft a PowerPoint from approved documents and research a business question using internal material. Generic chatbot prompts do not reveal the integration advantage you are actually paying for.
